Overview

This provides information on who should be your first point of contact for different Employee Services.

Payroll / Timesheets (WorkPlace)

  • Who:
  • For What: 
    • Questions and support regarding employee paychecks (including wages paid, wage/hour discrepancies, wage garnishments, wage deductions, direct deposits, tax withholdings), timesheets (general WorkPlace questions, hours entered or missing from WorkPlace, project code and cost category questions/discrepancies, expense entries)
    • Payroll Service Standards:
      • Time must be submitted in accordance with CCSI’s time keeping policy. Time and expense submissions/changes received after 11am on the Mondays when payroll is being processed will not be accepted for immediate payroll processing and may result in an off-cycle, manual check.
      • The Payroll Specialist will acknowledge the receipt of an employee’s emailed request no later than 2 business days and return voice mails no later than 2 business days.
      • If an employee’s inquiry cannot be answered immediately and/or the Payroll Specialist needs to consult with co-worker, customer, supervisor, or vendor - the Payroll Specialist will provide an update with the intended course of action and will follow up with the employee once completed.

Employee Benefits & Wellness

  • For What:
    • Questions and support regarding employee benefits and wellness resources including (but not limited to) health insurance, health savings account (HSA), dental insurance, vision plan, life insurance, education benefits, EAP, employee discount programs, 403(b) retirement savings plan, paid time off benefits (PTO, VTO, Floating Holidays), biometric screenings, flu shot clinics, and other benefits/resources under CCSI’s Wellness@Work program. Please review our CCSI Benefits Booklet for more details on CCSI benefits.
    •  Benefits/Wellness Service Standards:
      • Employees who are enrolling in benefits outside of the annual Open Enrollment Period (new hires and employees experiencing a qualified event) have 30 days from the date of hire or qualified event to make benefit selections. If employees do not make benefit selections within the 30-day window, they must wait until the next annual Open Enrollment Period to enroll in benefits.
      • Employees with questions surround CCSI benefits, Tuition Reimbursement, Retirement and Paid Time Off.
      • The Benefits and Wellness Program Manager will acknowledge the receipt of an employee’s emailed request no later than the next business day and return voicemails no later than 2 business days.
      • If an employee’s inquiry cannot be answered immediately and/or the Benefits and Wellness Program Manager needs to consult with co-worker, customer, supervisor, or vendor - the Benefits and Wellness Program Manager will provide an update with the intended course of action and will follow up with the employee once completed.
      • Information and setup for corresponding account information necessary for deductions/earnings to be properly deposited.

Employee Leave Administration and Worker’s Compensation

  • For What:
    • Questions and support around Family Medical Leave (FMLA), Short Term Disability, Paid Family Leave, extended illness; staff accident or safety incident reports (slips, trips, falls, cuts, bruises, occupational illness, fractures, punctures, sprains, strains, bumps, fainting, victim of assault or death while performing work), etc.
    • Leave Administration Service Standards:
      • If the request for leave is immediate (meaning the employee is unexpectedly out of work or taken out of work by a healthcare provider) the Benefits and Wellness Program Manager will acknowledge the request for leave no later than the next business day via email or returned phone call.
      • For leave requests/notices that are scheduled within the next 30 days, the Benefits and Wellness Program Manager will acknowledge the receipt of an employee’s request for leave within 3 business days.
      • For leave requests/notices that are scheduled beyond 30 days in the future, the Benefits and Wellness Program Manager will acknowledge the receipt of an employee’s request for leave within 2 weeks.
      • If the Benefits and Wellness Program Manager needs to consult with co-worker, customer, supervisor, or insurance carrier – about the leave request, they will provide an update with the intended course of action and will follow up with the employee once completed.

Human Resources Business Partner (HRBP)

  • For What:
    • Recruitment, Performance Management Support, Employee Relations, and Policy Guidance.
    • Recruitment Service Standards:
      • If you’d like to post a position, please fill out a Job Requisition Form for each position and update or provide the position description for posting - please allow for 5 days job posting processing time.
      • Human Resources may have follow up questions on any Requisition submission. Please be sure to attach your updated Job Description at time of submission.
      • The HR department will acknowledge the receipt of a emailed request no later than 2 business days and return voicemails no later than 2 business days.
      • If the HRBP needs to consult with a co-worker, customer, or supervisor – the HRBP will provide an update with the intended course of action and will follow up with the hiring manager once completed.
    • Employee Change Requests
  • Effective 5/31/22, all Employee Change Forms must be submitted no later than 12PM on the Wednesday prior to each payroll. You may view the deadline calendar on CCSI Inside at Employee Change Form Deadline Calendar. The Employee Change Form is also available on CCSI Inside at Employee Change Form.
  • This deadline is being implemented to provide adequate time to process the information received, as well as ensure payroll is completed timely and accurately.
    • Employee Change Forms must be filled out correctly and completely with all necessary approvals prior to submitting to hr@ccsi.org.
    • If Employee Change Forms are received after the deadline, they will be effective in the next payroll cycle. 
    • Incomplete or unapproved Employee Change Forms cannot be processed. If you have any questions regarding Employee Change Forms or the deadline, please reach out to your Senior HRBP.
  • HR Business Partner Support Services Standards:
    • Human Resources Business Partner (HRBP) provides consultative and technical assistance for all supervisors and employees to promote an environment where all employees can be successful in achieving their professional goals, are treated fairly and respectfully, communicate openly with one another, are contributing and fully involved in their work, understand and are committed to CCSI’s mission in alignment with customer expectations, and work collaboratively and as a team. HRBP helps to manage conflict with various communication and problem-solving techniques; understand and apply CCSI’s policies fairly and equitably; provide supervisors with guidance and support to address staffing, performance, and employee relations challenges and assist with developing appropriate goals and objectives; and address many other workplace needs. Through coordination with recruiting, payroll, benefits, learning and development and other members of CCSI’s Essential Business Services team, the HRBP strives to provide the most effective and efficient support for all employees.
  • Human Resources Business Partner (HRBP) is available through set open office hours which vary weekly so please contact your HRBP directly to schedule an appointment.
  • Please see your HR Business Partner for technical assistance with writing/updating position descriptions; performance documentation (memos, timelines, counseling/discipline, performance improvement plans, etc.); employee changes such as promotions, transfers, demotions and termination; and supervision guidance.
